Parish Receptionist

Reports to: Pastor
Collaboration with: Parish Staff and Parishioners
Status: Part-time | Hourly | Non-Exempt

  • Provides a warm welcome to all who call or visit the parish office; determines which staff member they need to connect with and facilitates that connection.
  • Receives and places telephone calls and schedules appointments as requested.
  • Opens and distributes incoming mail and arranges for delivery of outgoing mail.
  • Prepares Mass requests, Mass cards, and information about stipends.
  • Coordinates the scheduling of parish and school facilities. Maintains a parish calendar that identifies the time, date, name of organization and room scheduled to use.
  • Prepares and produces the weekly parish bulletin. Gathers and edits the content and layout of the bulletin and completes the bulletin in time for final printing.
  • Mail out bills under the direction of the business manager to maintain dual control.
  • Operates office machinery and equipment and arranges for its maintenance and repair.

Required Skills and Qualifications

  • Communication Skills: Excellent oral and written communication skills are essential for interacting with staff and clients.
  • Organizational Skills: Strong organizational skills to manage multiple tasks and prioritize effectively.
  • Attention to Detail: A detail-oriented approach to ensure accuracy in all tasks.
  • High computer literacy required: fluent in Word, Excel, Publisher, PowerPoint, and internet browsers.
  • Discretion required: must be able to process and maintain confidential information.
  • Experience: Previous experience in a similar role is preferred but not always required.
  • Practicing Roman Catholic preferred.
  • Experience in database work and calendaring.
  • Eager learner with exemplary written communication skills.
  • Criminal background required.
  • Average of approximately 19 hours weekly; may involve some nights and weekends.
